Below are the policies and reminders for the services provided by Austin Hi Chai. A Client /customer must review, acknowledge and return the sign form with initial deposit.
Chai Cart/Micro Set-up
Our cart comes styled to fit your event's theme and is fully decorated according to your color scheme.
Packages include cups, sugar, stirrers, and an assortment of biscuits with your choice of beverage. Each package also includes a 4-hour time frame, any additional hour would be charged at $50/hr.
(Client must provide a 6-foot table for micro set-up)
Policies-
- Once the quote is accepted and the deposit is made, this form will serve as an official contract between "the client" (name below) and Austin Hi Chai.
- Dates will only be considered confirmed until a non-refundable deposit of 25% is paid.
- Deposits are non-refundable 21 days or less prior to the event. Unused deposits may be credited towards a future event no more than 1 year from the original booking.
- The final 75% of the payment is due 1 week before the event.
- Short notice events can be organized based on Austin Hi Chai availability with an extra service charge of $50. (exception may apply)
- The client agrees to ensure that Austin Hi Chai will have access to a parking spot and the venue 2 hours in advance of the event to set up properly.
- The cart cannot be moved after the final setup is complete and damages to the cart or any items on the cart will be the financial responsibility of the client.
- Payment is accepted through Venmo, Zelle, or Cash.
- If event insurance is needed at the event, clients should get their own insurance.
*This is a self-serve set-up, in the case that the chai burners blow out due to weather conditions, it is the client's responsibility to reignite them to keep the chai warm.
*The client agrees to take responsibility for any damages, losses, or injuries caused from the Cart or beverages spill by the client, their guests, or any other individuals attending the event.
*Our products are made in an open kitchen that uses eggs, milk, and nuts. Cross-contamination is a possibility.
*We recommend all setups/displays be done indoors. Outdoor events will be accepted but we are not responsible for weather-related issues.
*Austin Hi Chai cannot set up at a location that requires climbing stairs. Prior approval must be granted for exceptions and included on the order form at the time of the booking. Clients must disclose any hindrances on the way to the setup location including, but not limited to, stairs, dogs, pets, or any other obstacles. Failure to disclose this information during the time of the booking can result in a cancellation of the cart setup.
Payments will not be refunded if these guidelines are not followed. (A micro set-up may replace the cart.)
This ensures transparency, minimizes the risk of disputes and facilitates a smooth and professional working relationship throughout the event planning process.
